Responsibilities

  • Support the Vice President of Health Equity and Partnerships and the team in launching a new organization.
  • Work closely with the Executive Assistant on calendar management, correspondence, expense reporting, travel management, and ad-hoc projects.
  • Manage the Vice President's calendar and organize appointments.
  • Coordinate and collaborate with other departments and stakeholders.
  • Prepare speeches, working documents, and presentations for internal and external events.
  • Organize teleconferences and meetings, including booking rooms and equipment.
  • Plan and organize internal and external meetings, off-sites, conferences, and special events.
  • Coordinate complex domestic and international travel plans.
  • Handle expense reporting, procurement, and budget tracking.
  • Manage subscriptions and memberships.
  • Collaborate with other assistants to improve processes and align strategies.
  • Participate in organizing regional events by providing input and sharing experiences.
  • Manage SharePoint sites, Teams sites, and distribution lists.
  • Support and coordinate special projects, including preparing and editing presentations.
  • General secretarial and clerical duties.

Requirements

  • Education: High School Diploma or equivalent.
  • Several years of administrative experience, particularly in supporting senior executives.
  • Experience in administrative work requiring analysis, initiative, flexibility, tact, and independent judgment.
  • Ability to work under pressure and handle multiple tasks with little or no supervision.
  • Discretion in handling sensitive data.
  • Strong organizational skills and ability to prioritize and coordinate multiple tasks.
  • Excellent communication skills and ability to interact effectively with individuals at all levels of the organization.
  • Proficiency in using MS Office Suite.
  • Tech-savvy, with experience in SAP (Ariba, Concur) preferred.
