Personal Assistant Office Coordinator

Client:

A leading, global multi-family office with long-established boutique front office in Geneva. A vibrant, dynamic and international environment. A Client that Finders know well, thus able to explain the culture and working environment to any potentially suitable applicant.

Position:

Are you about to finish a contract or between jobs? This is a real chance for a calm, well-presented and poised PA/assistant to get a foot in the door at leading family office. (A good chance that the job can become permanent, even if no guarantee). So if you're happy with a fast pace and in a dynamic, busy atmosphere, with an Anglo-Saxon style of work, this could be the job for you! Sitting on the Reception, this role supports the Family Office Geneva Team, ensuring smooth day-to-day operations through professional personal assistant and secretarial service. It also involves managing office facilities, ordering supplies, and handling reception duties.

Key Responsibilities and Duties to include:

Office Support:

- PA duties for Relationship Managers, Directors, and Partners (diary management, calls, expense claims)

- Organize internal/external meetings, prepare board packs, and manage filing

Facilities:

- Oversee office repairs and maintenance; liaise with landlords and contractors

- Maintain office supplies and ensure printers and canteen stocks are operational

Visitors & Events:

- Manage reception, organize refreshments, and coordinate visitor arrangements

- Assist in organizing internal/external events

Travel:

- Arrange travel and complete expense claims for senior team members

Anti-Money Laundering (AML):

- Assist with AML compliance, document updates, and risk assessments

Building Access:

- Manage office access cards/keys and track reallocations

Profile:

- Bilingual in English/French; if possible mother-tongue English - excellent communication skills

- Proficient in MS Office

- Minimum 5 years+ of experience in a similar role as the "face" of the family office - for example you should be used to VIP clients (both internal and external)

- Previous experience as an assistant might be from a family office, asset manager, bank or from 5-star hospitality industry (any extra experience in facilities management a plus) + happy to still have some reception duties

- Well-organized, discrete, proactive, detail-oriented, and calm under pressure

- A team player, but able to manage tasks with little supervision

- Already living and working in the Geneva area and in possession of valid Swiss work permit
