Scenic Luxury Cruises & Tours’ is a leading luxury global travel company with offices around the world and has grown over its 37-year history to include award-winning, all-inclusive escorted tours; two award-winning river cruise lines – Scenic and Emerald Waterways; and, in 2019, the World’s First Discovery Yacht – Scenic Eclipse.

We are currently recruiting to support our Chief Operating Officer.

The role is based in our Zug office, Switzerland.

Executive Assistant 100% (m/f/d)

Responsibilities:

  • Maintain the diary of the COO, prioritise meetings, and ensure timely updates of daily schedules and commitments
  • Resolve conflicting demands upon the COO’s time from reporting staff, senior managers, and internal/external stakeholders
  • Use independent sound judgement in the COO’s absence to prioritise and action incoming correspondence, telephone calls and emails to ensure the COO is kept abreast of information in a timely and efficient manner
  • Prepare and distribute correspondence, Agendas, Minutes, Presentations and reports as required by and on behalf of the COO ensuring accuracy and efficiency
  • Develop and maintain effective relationships with other Scenic business divisions, partners, suppliers and external organisations
  • Collect and disseminate information on behalf of the COO, ensuring the highest levels of confidentiality and professionalism
  • Ensure all internal reports and other deliverables due to the COO are received. Establish and maintain an effective follow up system that supports the business activities
  • Purchase goods/services and arrange travel and accommodation as per Scenic policies and procedures
  • Complete reconciliations for corporate credit cards to ensure compliance with Scenic financial systems and procedures
  • Coordinate or carry out additional tasks to support business operations as required
  • Lead or participate in any minor tasks or projects from time to time, as directed by the COO
  • Collaborate with Scenic staff as part of a team to achieve common objectives
  • Review and seek to improve work practices on an ongoing basis and refine administrative practices and procedures as necessary
  • Supervise the Office Administrator to ensure the efficient office operations

Your profile:

  • Fluent in both English and German, and able to translate readily
  • Proven high level experience as an Executive Assistant for a senior leader in a large, international organisation (in a similar industry is a plus)
  • Proficiency and experience with Microsoft applications and advanced keyboard skills
  • Demonstrated advanced written and verbal communication skills, including previous experience in writing documents on behalf of a senior executives
  • Ability to establish and maintain relationships with all stakeholders both internally and externally
  • Ability to work unsupervised and make independent decisions
  • Demonstrated ability to use judgement and discretion when dealing with enquiries and disseminating information
