A Day in the Life of an Administrative Assistant:
In this role, you will be responsible for managing and coordinating the contracts and budgetary operations of the organization
- Monitor and manage payments for the SMI HQ budget, including the creation and management of PR/PO, K2 forms, payment orders, ICO forms and manual invoices
- Track invoices and maintain visibility of costs related to contract management processes
- Support and resolve issues related to PO approvals and payments
- Provide administrative support to internal departments for budget tracking and quarterly closings and assist teams with their contract registrations
- Support the finance department in monitoring project expenditures, tracking project timelines and comparing spending against pending expenses and ensure accurate financial reporting and tracking
- Facilitate smooth communication with vendors regarding data updates, payment instructions and other invoicing-related information (e.g. payment dates, celearning numbers)
- Assist the SMI controller with regular budget activities such as consolidation, collection of accruals and updates on the dashboard and ensure the set-up of quarterly budget reviews with relevant business entities

What will make you successful
- You have a financial background with experience in an international environment and contract management
- You have experience in the fast-moving consumer goods (FMCG) or pharmaceutical industry
- You are proficient in SAP and Excel and are used to utilizing these tools to develop effective decision support systems
- You are fluent in English
- You excel at connecting the dots, demonstrating strong problem-solving and time-management skills. In your work, you prioritize tasks seamlessly and respond with agility.
- You have strong analytical and organizational skills, with a keen attention to detail and a high level of accuracy
