The Oncology group is looking for an Administrative Expert to join the Administrative group (team of 2) to independently deliver profound administrative services in a local and a global context.

Responsibilities

  • General administrative support: Independently taking care of general administrative tasks and maintaining the administrative processes also in case of absence of the line manager/team members (what is given, e.g. independent writing of correspondence, appointment coordination for the department, database administration, supervising relatively demanding processes, e.g. target/actual comparisons, budget, checking of invoices, deputizing for administrative staff, meeting preparation and writing of simple minutes, creating and maintaining our Sharepoint pages, booking VCs, inviting candidates for interview, onboarding new comers...)
  • Interaction: Inform, advise and support the team and associates from outside the team on processes, guidelines and services that are specific to the department. Act as delegate for the colleagues in the team. Foster cross sites interactions.
  • Work processes in own area of responsibility: Support optimization of current processes and/or introduction of new or modified processes to enhance effectiveness
  • Handling of administrative projects: Acts as a team member for administrative projects (e.g. organization of special events) and manage the administrative part of special tasks
  • Supervisory tasks: Guarantee a smooth adjustment to the job of new employees in the own area of responsibility. Take over supervising for colleagues in the administrative area (e.g. apprentices, new employees etc.)

Qualifications

  • Commercial training (e.g. Swiss Association of Commercial Employees, business school) or equivalent
  • Experience as administrative assistant or additional administrative career training
  • Very good knowledge of job-relevant software; able to use diverse technical equipment after instruction
  • Strong IT skills, particularly Microsoft Package
  • Good written and spoken English, knowledge of other languages (e.g. French/German) advantageous
  • Excellent time management, prioritization, planning, organization skills, and customer focus
  • Strong team player, used to share tasks and information within a team
  • Enthusiastic, dynamic, positive approach
