Administrative Assistant 60% (Job-Sharing)

JOB SUMMARY:

As an Administrative Assistant at Ascent Health Services, you will provide essential administrative support to our negotiation team, senior directors, and executive assistant. This is a job-sharing position, ideal if you can work in the afternoons from Monday to Friday and one full day a week, though this can be discussed. Please note that this is an on-site role with limited remote work option.

Administrative Assistant 60% (Job-Sharing)

WHAT YOU WILL BE WORKING ON:

  • Calendar Coordination: Managing and coordinating calendars for senior directors.
  • Event, Logistics and Travel Coordination: Organizing company events, domestic and international travel arrangements, internal meetings, and team events.
  • Expense Management: Preparing expense reports for senior directors and assisting the team with expenses.
  • Communication Management: Handling communications with internal and external teams.
  • Administrative Support:
    • Managing onboarding processes and team files.
    • Providing administrative support during projects.
    • Assisting with onboarding new team members and account assignments.
    • Offering other administrative support as needed.
  • Deputizing other Assistant: Filling in for other assistant during absences and collaborating with other assistants to ensure optimal support for the organization.
  • Office Management Support: Assisting with office management tasks as needed.

YOUR PROFILE:

  • Full proficiency in both German and English mandatory (both written and spoken, C1 level)
  • 2-5 years of relevant work experience.
  • Vocational degree on commercial education (KV or similar)
  • Excellent communication skills, both verbal and written
  • Strong interpersonal skills, preferably nurtured within an international and fast-paced work environment
  • Advanced Microsoft application skills, particularly in Outlook, Excel, Word and PowerPoint
  • Strong organizational and time management skills.
  • Ability to keep sensitive information confidential.
  • Capability to work effectively in a team environment.
