As our global sales are ramping up, we are seeking a seasoned Office Manager(80-100%) to manage our operations and administrative activities. The Office Manager will be instrumental in guiding the development and operational framework of the company.
Key responsibilities:
Manage operations and logistics, including:
- Planning, communications and coordination of shipping/installations for customer sites, demos and trade shows
- Shipping and receiving of high-tech goods for R&D and Inventory
- Ordering and management of office supplies
- Support for business travel of the team members (tradeshows, conferences, customer support, commissioning of machines).
Manage administrative tasks, including:
- General Bookkeeping (e.g. invoicing, accounts payable/receivable, bank reconciliation)
- Review and negotiate agreements and contracts (e.g. office rental, utilities, etc.) to protect the company’s interests while ensuring compliance with legal and regulatory standards. Interface with outside legal support and company executives as required.
- Coordinating, assembling and tracking of technical and legal documentation for public bids/tenders
- Preparing financial reports for the board meetings and public grants awarded to the company.
- Management of daily HR tasks
- Other duties as assigned by CEO
You:
- Must have a successful track record as an Office Manager or Senior Admin in a startup or small/medium enterprise operating in the hardware manufacturing industry
- Have a “can-do”, self-motivated and curious personality
- Are able to take responsibilities, focus on priorities, and respect deadlines
- Are fluent in English, spoken and written. French is a plus.
- Have a knowledge of import/export regulations, ideally for hardware goods
- Have a prior knowledge of Bexio, or of a similar Finance/MRP platform
- Have ideally basic legal know-how or are willing to learn key legal concepts
