Position Overview
The HR Operations Coordinator will provide functional support to the HR Operations team while ensuring a high level of internal and external customer satisfaction and service. The HR Operations Coordinator is responsible for facilitating centralized Talent Acquisition and employee lifecycle operational processes to include HR inquiries, new hire onboarding, interview scheduling, terminations, employment offers and background checks, job descriptions, various compliance programs, and other processes as developed by the HR Operations team.
This is an onsite role, located in Madison, WI.
Essential Duties
Include, but are not limited to, the following:
- Assist with the logistics and preparation of employee facing or new hire HR tasks.
- Ensure accurate data delivery through transactions in various systems and data entry.
- Proactively audit HR systems to ensure the integrity of candidate and employee data.
- Employee file maintenance to include filing of records, records retention activities and agreement tracking.
- Support inbox or case management through independent problem solving and when necessary, triaging to appropriate stakeholders.
- Participate in project team as needed to support initiatives.
- Maintain and protect confidential data with utmost scrutiny, judgment, and care and ensure awareness of and compliance with employment regulations and laws.
- Have a firm understanding of the level of impact and risk of the role to the organization.
- Adaptable, open to change, and able to work in ambiguous situations, responds to new information and unexpected circumstances. Seeks to understand reasons for setbacks and identifies lessons learned.
- Positive, self-motivated individual who can complete goals and tasks independently with general critical thinking.

- Excellent communication skills, both verbal and written.
- Perform routine and some nonroutine assignments using standard methods and sequences. Ability to make adjustments, modifications, and replacements to set processes as directed. Assignments require limited judgment in troubleshooting proven processes.
- Strong commitment to providing world class customer service to internal and external customers. Requires close to moderate supervision. Requires general instructions on routine work and detailed instructions on new assignments.

- Ability to work overtime as needed.
- Ability to lift up to 25 pounds for approximately 5% of a typical working day.
- Ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 85% of a typical working day.
- Ability and means to travel between Madison locations.
Minimum Qualifications
- Bachelor’s degree in a Business Administration or field as outlined in the essential duties, Human Resources preferred; or an Associate’s degree and High School Degree/General Education Diploma and 2 years of relevant experience in lieu of Bachelor’s degree.
- Apply broad knowledge of business concepts, procedures, practices, and a general understanding of Human Resources fundamentals.
- Demonstrated ability to build relationships and effectively connect with others.
- Professional working knowledge with Microsoft Office Word, Excel, and PowerPoint.
- Demonstrated ability to perform the Essential Duties of the position with or without accommodation.
- Authorization to work in the United States without sponsorship.
Preferred Qualifications
- Experience with Workday or other applicant tracking system.
- Professional experience in a fast-paced business setting.
- Previous experience in a HR space.
- Expert knowledge in Microsoft Outlook.
- Experience with the scrum and/or agile framework.
- 1+ years of demonstrated experience working with or supporting a Human Resources function, recruitment team, and/or HR Operations processes in a growing company.
Salary Range:
$51,000.00 - $81,000.00The annual base salary shown is for this position located in US - WI - Madison on a full-time basis.
