We are looking for a proactive Junior Executive Assistant for our Global Operations team in Taste & Wellbeing (T&W). In this dynamic role, you will manage the Global Operations office and provide essential support to the Head of Global Operations, and other important functions such as the Head of Quality and Head of Supply Chain. Your expertise will also extend to ad hoc support for multiple team members.
You will be based in our Business Center in Kemptthal and report directly to the Head of Global Operations Taste and Wellbeing.
In this exciting role you will:
Global Operations Team Support & Office Management:
- Manage travel bookings and scheduling of meetings across different time zones
- Organize global and regional team meetings
- Prepare expense reports and manage invoices and purchasing requests
- Oversee smaller projects within Operations
- Evaluate monthly presentations and reports
- Collaborate with the Communication Teams for Townhalls
- Ensure the office is well-equipped and functional
Continuous Improvement:
- Lead smaller Continuous Improvement (CI) projects within Global Operations
- Support CI programs locally in Zurich
- Enhance administrative processes for greater efficiency
Hospitality:
- Host internal and external guests, visitors, consultants, and customers
- Help onboard new hires in Zurich
- Provide vacation coverage for the Executive Assistant to the President of Taste & Wellbeing
Your professional profile includes:
- Federal diploma in commerce, hospitality, or as an executive assistant
- 2 years of experience in a similar role in an international organization
- Networking and collaboration skills
- A collaborative spirit, passionate and high portion of energy
- Commitment to the highest standards of ethics and integrity (confidentiality)
- Proficiency in English; good knowledge in German
- Good proficiency in MS Office and Google Suite
- Experienced in project management (especially planning and tracking)
- Expert in multitasking and prioritization
- Customer-focused mindset
- Self-starter with the ability to work independently
- High level of reliability in timing and quality of execution
