Facility Management Space Coordinator (100%, 6 months contract)
Climeworks removes CO2 from the air to fight global warming and protect future generations to come.
We develop, build and operate direct air capture (DAC) machines which capture CO2 directly from the air. The captured carbon dioxide is removed from the air by safely storing it underground, permanently.

Job description
Your mission at Climeworks is to efficiently allocate office resources, align workspaces with business needs, and optimize space utilization through seamless coordination and professional collaboration with stakeholders.
You ensure professional and attentive front desk service that reflects Climeworks’ values and serve as the first point of contact for visitors, answer questions, and communicate essential information.
You announce visitors promptly to internal employees and handle phone calls professionally in multiple languages.
You address or allocate emails and FM tickets within 24 hours and manage incoming and outgoing mail, courier services, and parcel distribution efficiently.
You oversee visitor registration, access control, and parking management, including badge handling and garage exit tickets.
You support project documentation, meeting organization, and assist with future project implementations.
You assess and plan office space allocation in collaboration with supervisors and department heads and develop and present proposals for optimal space placement and group/department allocations.
You coordinate office moves, including preparing infrastructure, obtaining service quotes, and liaising with FM and IT teams.
You monitor and report on space utilization and future needs.
You substitute for team members as needed and assist the Facility Manager and team in various tasks.
Requirements
You completed an apprenticeship in office administration or in an equivalent field.
You hold at least 5-10 years of experience in the facility environment.
You have proven expertise in managing office fit-out or expansion projects and in space management, facilities coordination, or related fields, ensuring smooth transitions.
You demonstrate a service and team-oriented, flexible, and reliable working style with strong organizational skills.
You possess excellent communication and presentation skills and are proficient in Office365, especially PowerPoint.
You have strong analytical skills for space planning and needs assessment, along with a problem-solving mindset and attention to detail.
You are friendly, trustworthy, and able to work collaboratively with diverse teams and stakeholders.
You are fluent in German and English.
You have availability to start in February 2025.
