Executive Assistant to the CFO

About the role. Join a supportive and collaborative team in Zurich, easily accessible via public transport connections. Enjoy working in attractive on-site premises with a fantastic group of colleagues who all share a passion for excellence. The team in the office is a friendly, sociable one – and you’ll be a vital part of the team. Ultimately, your job is to get the CFO where he needs to be. Similarly, there are a couple of assistants in the company who you will interact closely with, along with HR, Ops and finance team members. As the trusted CFO assistant, you will be the right hand, ensuring smooth and efficient daily operations. Your responsibilities will include but are not limited to

  • Managing information flow and communication across the global team.
  • Coordinating schedules and travel arrangements.
  • Preparing and following up on meetings.
  • Handling correspondence in both German and English.
  • Drafting and reviewing contract templates.
  • Taking minutes for board meetings and general assemblies of group companies.
  • Overseeing the contract and document management.
  • Setting up and monitoring deadlines.
  • Preparing presentations and reports for (board) meetings.
  • Coordinating with commercial registers in relevant countries.
  • Managing and maintaining confidential documents and information.
  • Assisting with special tasks as assigned.


About You. To be successful in this role, you will need

  • A commercial apprenticeship with further education in management assistance (Direktionsassistenz), finance, paralegal or similar.
  • 8+ years of professional experience in executive assistance.
  • A natural ability to thrive in a dynamic, high-standard environment.
  • A precise, proactive work style with a high degree of accuracy.
  • An efficient and structured approach to work, with an affinity for numbers.
  • A solution-oriented mindset with strong analytical skills and attention to detail.
  • A strong service mentality.
  • Fluency in English (Proficiency); German and French is an advantage.
  • Proficiency in MS Office and modern collaboration tools, e.g., Zoom and Teams.
  • Excellent organizational and multitasking skills.
  • A confident demeanor with a positive attitude; no task is too big or too small.
  • Loyalty and discretion in handling sensitive and confidential matters.
  • High level of commitment, flexibility, and a friendly, approachable personality.
