CEO Assistant

About the role: You will act as a trusted assistant, ensuring that the day-to-day interactions of the CEO go seamlessly, complemented by your perfectly organized back-office management, frequently interfacing with all parts of the business to provide administrative service and ensuring that internal and external stakeholders have a positive professional experience. You will handle the intricacies of executive administration with finesse—in simpler terms, you'll feel right at home in a role where you can be fully engaged and where your best asset is your classical support approach—understanding that every task, no matter how small, requires the same commitment to delivery. You must have a strong dedication and thrive in a dynamic, ever-changing, fast-paced environment where diverse cultures interact positively. An ambitious, entrepreneurial nature and a determined hands-on approach will ensure your success in this varied role. Experience working within an international setting and being fluent in German, English, and Italian is a prerequisite.

What you will be doing

  • Managing the day-to-day operations, including a dynamic calendar; ensuring all appointments, travel, and events are scheduled based on business priorities; preparing correspondence and documents for meetings and projects.
  • Coordinating travel (local & overseas), managing visa and accommodation requirements, and managing any last-minute changes or travel issues such as cancellations, rescheduling, re-routing, and invoicing.
  • Filtering information and managing workflows based on understanding the business's intricacies and seeing the big picture, working independently and collaboratively to translate priorities and drive them to completion.
  • Composing and compiling reports, e.g., ensuring input for board meetings.
  • Serving as liaison to other branches worldwide, providing a bridge for smooth communication.
  • Assisting in ad-hoc tasks/projects as assigned, e.g., tracking and follow-up to ensure achievement of goals.
  • Reconciling expenses, including credit cards; maintaining files.
  • Collaborating with the company's admin team, reciprocal collegial coverage during absences, and promoting an engaged culture across the organization.

Your Background and Expertise

  • A commercial apprenticeship and/or executive assistant diploma with a minimum of 8 years of related work experience in a similar role.
  • Business fluent in German, English, Italian, and ideally French (oral and written); any other European language is an asset.
  • Proficiency in IT tools, such as MS Office and collaboration tools (Zoom, Teams).

  • Your capacity to maintain confidentiality and discretion is paramount, as you play a pivotal role in safeguarding sensitive information.
  • You have a flexible attitude and can adapt to suit the hours of the CEO, which will occasionally be necessary.
  • Ability to maintain a calm, professional approach throughout busy, high-volume periods.
