EU Admin Assistant (Medical Affairs)
Proclinical is seeking a dedicated and organized EU Admin Assistant for a Oncology Medical Affairs group. This remote role is an exciting opportunity to be part of a team working on the launch of a pivotal oncology drug. This is an initial 5-month fixed term contract.
The successful candidate will provide administrative support to the executive medical affairs group, including calendar management, meeting documentation, and travel itinerary assistance.
Responsibilities:
- Manage calendars across multiple time zones
- Handle communications professionally, directing emails and phone calls to appropriate parties
- Organize daily schedules for optimal time management
- Prepare documents and notes ahead of meetings
- Support remote management and team members
- Schedule meetings with internal and external groups, including organizing logistics and pre-read documentation
- Compile clear minutes and action-lists from meetings
- Assist with travel itineraries
- Handle confidential material effectively and discreetly
- Ensure adherence to all relevant legal, regulatory and compliance requirements, corporate policies and procedures
- Coordinate and organize international events with internal and external stakeholders
- File and retrieve documents and reference materials
- Prepare and edit correspondence, communications, presentations, and other documents
- Undertake ad-hoc projects as related to the needs of the business
Key Skills and Requirements:
- Strong administrative or personal assistant experience in a pharmaceutical or biotech company
- Excellent organizational and time management skills
- Ability to handle confidential information with discretion
- Strong communication skills
- Proficiency in MS Office
