The International Olympic Committee (IOC) is the guardian of the Olympic Games and the leader of the Olympic Movement.A truly global organisation, it acts as a catalyst for collaboration between all Olympic stakeholders, including the athletes, the National Olympic Committees (NOCs), the International Sports Federations (IFs), Organising Committees for the Olympic Games (OCOGs), the Worldwide Olympic Partners and Media Rights-Holders. It also works with public and private authorities,including the United Nations and other international organisations.
If the vision to build a better world through sports inspires you, this is a unique opportunity for you to become part of the Olympic Movement and join the IOC.As the Senior Project Manager Olympic Family Services you will take part on representating the Olympic Family and stakeholdersand contribute at all internal IOC forums led by the Olympic Games department and in relations with IOC Functional Areas and at all external OCOGs related meetings (workshops and stakeholders reviews).
Main responsibilities
Coordination and monitoring of activities
Coordinate the involved IOC FA(Protocol and Corporate Events & Services) to ensure that all Olympic Family related IOC Games Delivery and IKL (Information, Knowledge and Games Learning) deliverables are respected (Olympic Games Guide review, Masterschedule, Stakeholders plans, Functional Area Operating plans, workshops, Games experience programme, policies and procedures, etc.).
Acts as deputy contact point for each OCOG/YOGOC (Youth Olympic Games Oranising Committee) International Relations Department for the following areas: Olympic Family Services, Venue Protocol and Dignitary Programme (both Domestic and International).
Support the validation of service levels proposed for Olympic Family and Dignitaries by OCOGs/YOGOCs at games services review and other forums and escalate the high-level principle to the IOC Steering Committee on Operational Readiness for approval.
Support the validation of the Olympic Family accredited seating numbers, locations and strategies (including Prime Events and Olympic Family lounges locations and sizes) as part of the overall seating bowl management group and attend venue talkthroughs and walkthroughs to confirm Olympic Family plans.
Coordinate the questions and requests from OCOGs/YOGOCs and provide support in developing agendas and contents for Olympic Family briefs and reviews and expertise in all the different stages of their lifecycle.
Coordinate internally with the other stakeholders who are part of the Olympic Family and with the Olympic Hospitality partners and projects.
Be a force of proposition regarding Olympic and Youth Olympic Games optimization.
Games Time operations
Support the Head of Olympic Family Services in validating the Opening and Closing Ceremony operations for the entire Olympic Family and coordinate the respective IOC operations.
Responsible for venue protocol operations.
Troubleshooting issues related to services for the Olympic Family on ad-hoc basis.
Support the delivery of the Games Experience programme.
Our requirements
University degree and at least 5-7 years’ professional experience in the planning and delivery of Olympic Games and mega events.
Demonstrableexperience in Hospitality, Protocol and relations with high ranking stakeholders.
OCOG experience is an asset.
Excellent English oral and written skills. French skills and any other languages an asset.
Good knowledge of project management in big events.
Highly competent user of Word, Excel, PowerPoint.
Excellent relationship-building skills, able to interact with people in a constructive way.
In-depth knowledge of programme and project management including methodologies and tools.
Excellent communication skills and ability to adapt style to different situations.
Flexibility in working hours and ability to travel very regularly, including spending extended periods of time in the host city.
Rigorous professional ethics; sense of confidentiality and ability to communicate information in an appropriate way.
Keen sense of priorities for efficient management of projects and deliverables; ability to multitask; thoroughness in file follow-up.
Attention to detail and analytical and research skills advantageous.
Ability to join the dots; think on feet and take initiative; and solve problems in a creative way.
Strong organisational skills, ability to handle tight deadlines and stressful situations.
