The role:
Oversee a multi service operation, ensuring sustainable and effective delivery of soft services at Riverbank House, including, Security, Cleaning, Reception, Hospitality & Catering, Document Solutions/Mailroom, Switchboard, Plants & Landscaping and specialist third party sub-contractors.
Lead, motivate and develop a multi-disciplinary facilities services team in the delivery of outstanding customer service to Man Group staff and wider tenants at Riverbank House.
Assist with the management of all building and facilities services to other Man UK and global properties.
Ensure that Man Group is compliant with all regulatory requirements and follows best practice in all its activities.
Lead onglobal Health and Safety across all of Man Group’s offices, ensuring best practice globally.
Responsibilities:
Soft Facilities Services:
•Responsible for leading and managing both the strategic as well as operational provision of all soft facilities services at Riverbank House including, but not exclusive to Reception, Cleaning, Security (Man Guarding & Systems), Catering & Hospitality, Document Solutions/Mailroom, Switchboard, Pest Control, Plants and Landscaping, Helpdesk etc
•Responsible for facilities services related projects to ensure they are delivered on schedule and within budget
•Build relationships with key stakeholders throughout Man in the UK and global offices
•Oversight of the day-to-day response to reactive facilities services matters
•Contract Management, ensuring Service Level Agreements (SLAs) and Key Performance Indicators (KPIs) are met
•Undertake benchmarking and/or tender exercises for all major contracts as required
•Monitor all Facilities Services Management processes to ensure compliance and control for operational risk
Financial:
•Setting and managing the Facilities Services and Service Charge budgets working closely with the CRES Finance Partner and Global Head of CRES
•Provide management information/reporting as required
•Review and approve invoices, purchase orders and service contracts
Health & Safety:
•Manage the annual review of the H&S Policy
•Manage the quarterly H&S Committee meetings
•Management of statutory fire evacuations
•Review all annual risk assessments (Office, Fire, Water and Air Quality etc) and statutory audits
•Implement processes to ensure the good management of H&S at all Man properties to deliver a safe working environment and safe systems of work
•Develop employee and contractor training through annual Skillcast modules to ensure that all employees and contractors understand their H& S responsibilities
•Ensure that all works, and services are carried out in accordance with legislation, codes of practise, HSE recommendations across all Man properties, providing the highest level of safe working environments and safe systems of work and addressing any areas of concern
•Manage and coordinate the annual fire evacuations and the appointment and training of fire wardens and first aiders as required by legislation
•Update risk assessments (Office, Fire, Water, Air Quality etc) and review statutory audits annually
•Manage the Accident, Incident and Near Miss Reporting requirements, instructing and coordinating remedial actions and closing out observations in a timely manner
•Ensure excellent communications on health and safety matters to staff via the CRES intranet hub landing page, Slack and other media
•Oversee a system for PEEPs, workstation ergonomic assessments (DSE), completing associated follow up actions in a timely, documented manner
Real Estate:
•Manage tenant requirements/issues in a professional and timely manner (relating to hard or soft services, excluding Engineering and Maintenance) and be responsible for landlord and tenant relations and communication. Point of escalation when necessary
•Organise and chair tenants’ meetings quarterly or as required
Technical skills:
•A proven background working at a senior level Facilities services manager or similar
•Educated to degree level with an accredited Health & Safety qualification (e.g., NEBOSH, IOSH)
•Have a detailed and rigorous approach to all Health & Safety matters, ensuring best practice is followed in all Man’s offices globally
•Demonstrable leadership experience in leading multiple service teams to provide excellent service levels
•Demonstrable experience of effective budget management and the importance of cost control
•Strong analytical skills and an understanding of the complexities in running contracts and supplier performance management
•Maintain effective professional relationships with key stakeholders within the organisation as well as our contractors, suppliers, and tenants and to contribute as a key member of the CRES team
•Professional membership of IWFM, CIBSE etc
