We are looking for a talented Commercial Operations Coordinator to join our team and assist the sales team in managing the entire Order To Invoice Process. The individual will work closely with the sales team and other internal stakeholders to support operational effectiveness.

The position will be based in our offices in Germany or the Netherlands (Remote work considered for the right candidate).

Position Responsibilities

Order To Invoice Management

  • Execute the right information flow (including electronic platforms) related to the processing of customer orders and invoicing (maintenance of customer file, price, returns and credit memos).
  • Support the preparation of necessary documentation for the efficient, cost-effective and lawful execution of necessary activities, including shipping, commercial invoices, etc.
  • Maintain customer data records created in SAP, supporting the team in the creation of approved Customer Master Structures
  • Managing the relationship with external customers and distributors to ensure a good level of customer service and being proficient in managing all specificities of core market assigned.
  • Provide guidance to the warehouse to ensure effective and timely execution of sales orders and ensure customers are informed regularly regarding product availability issues.

Reporting and Analysis

  • Run control and stock reports as well as other sales reports used on a regular basis.
  • Analyse product availability gaps and report them to BESA Supply Chain to contribute to the maintenance of optimized inventory levels.

Support

  • Support other teams in case of discrepancies and information alignment (Finance, Warehouse/Logistics, Regulatory, Com Ops and Sales)

Experiences, Knowledge, Skills and Abilities

  • Export Order To Invoice experience (Good to have: 2 years)
  • Results oriented, team driven and customer focused
  • Ability to work under pressure and tight timelines
  • Excellent communication skills (verbal, written and listening)
  • Excellent knowledge of English, any additional language a plus
  • Quality Mindset with a strong desire to document and improve processes.

The successful candidate can choose to be based in either our offices in Germany or the Netherlands. We also welcome applications from candidates who prefer to work remotely, though this option will be considered on a case-by-case basis for the right individual.
