Varied temporary position at our customer in Basel, with an immediate start for a maximum duration of 6 months, as an
Main tasks:
- Coordinate and oversee all aspects of business travel arrangements, including securing necessary visas and handling the preparation and submission of expense reports
- Plan and organize meetings and various events
- Assist in managing and maintaining the scheduling of appointments and meetings
- Facilitate the legal documentation processes, which includes tasks such as collecting signatures, organizing and filing documents, taking meeting minutes, scanning and dispatching contracts, and coordinating activities with the notary
- ensure effective communication and coordination with other administrative assistants in the International and US offices to streamline operations and support cross-regional collaboration.
- Collaborate closely with the HR Admin & Payroll Team
- Play an active role in managing and facilitating processes that span the entire lifecycle of an employee
- Engage in a variety of HR-related activities beyond routine tasks
- Purchase order management
- Provide coverage for other assistants during their absence
Requirements:
- Commercial diploma or bachelor degree in business administration
- Experience and/or interest in HR activities; HR Assistant diploma nice to have
- Fluent in English & German, French is an asset
- Excellent proficiency in MS-Office, particularly in Excel, Workday, SAP and Ariba is a plus
- Demonstrated capability to manage highly confidential information, strong work ethic
- Strong administrative skills, well-organized, ability to prioritize tasks
