Job Description
The Europe R&D Center (ERC) empowers the R&D community across Europe, partners with functional leaders and foster the environment that enables the delivery of high-quality, patient-centric innovations from Global R&D, Pharm Sci, and EUCAN BU programs. “We Engage, Excite and Connect”!
The primary objective of this role is to provide support for the R&D Europe Regional Center (ERC) to manage and report on strategic business initiatives, projects and activities critical to the efficient business operations of the ERC. Specific duties include:
- Project Management Support and coordination for ERC related projects and deliverables
- Execute tactical activities on assigned projects, incl meetings, and related responsibilities in close collaboration with ERC team members.
- Analyse project progress and, when necessary, adapt scope or timeline to achieve optimal results.
- Provide Support for ERC related business operations
- Coordinate logistical and operational support for specific ERC related initiatives, meetings and events.
- Ensure and support cross regional communication and collaboration
ACCOUNTABILITIES:
- Provide project management support for ERC general infrastructure and business operations projects/initiatives that may include:
- Provide general project management support for ERC and R&D Global Regions LT members if required
- Support budget and management deliverables through reporting and tracking of metrics, including maintenance of the ERC dashboard and overviews
- Ensure that all aspects of a project are organized and in conformance with timeline and deliverables requirement
- Develop and maintain project performance and that tracks overall progress and achievement of milestones
- Monitor project efficiency and maximize deliverables output
- Report project risks and outcomes to appropriate management channels, and escalate issues according to project work plan
- Serve as point of communication between cross functional teams and
- Deepen partnerships with different stakeholders within R&D and outside R&D with a strong interface with ERC/R&D Global Regions
- Support Business Operations
- Provide meeting/activity planning and execution support related to designated ERC events and programs according to ERC strategy and budget.
- Provide logistics and support for other ERC/R&D Global Regions related events on an as needed basis (i.e. R&D Europe Townhalls, ERC LT Meetings, ERC Ops meetings), coordinate minute archiving and distribution.
- Maintain up to date data on the FTE and contractor headcount incl starters/leavers in R&D Europe; using this information to keep up to date on floor plan needs; maintaining distribution lists and feeding into onboarding plans.
- R&D Europe onboarding – build and maintain onboarding plan for R&D Europe excl Austria and Spain; integration and ownership of onboarding processes, including creation of new processes. Build the communication plan as they pertain to the process.
- Provide subject matter expertise, support, and guidance for the P2P process to the R&D Europe user community. Looking for efficiencies and representing the community voice.
- Co-ordinate R&D Europe Leadership Team meetings. Create agendas, maintain minutes of meetings, and deliver on actionable items.
- Maintain oversight of high-level processes for key business functions and act as Point of Contact e.g Procurement, Legal & Finance, providing guidance to R&D Europe user community on processes and look for efficiencies, reporting these up to Business function Heads.
- Oversee and manage vendor contracts as they pertain to R&D Europe Regional Center and R&D Zurich site engagement activities.
- Provide onsite administrative support to R&D Zurich teams, as may be required.
- Support and coordinate ERC Liaison & Engagement activities
- Execute tactical activities as outlined in ERC Communications Plan, in partnership with ERC Liaison and Engagement Lead and R&D Global Regions communications.
- Maintain ERC SharePoint/Collaboration Site, including content refresh and any migration activities.
- Contribute to development of ERC sponsored communications (announcements, milestones/accomplishments, Newsletter etc).
- Work with ERC Liaison and Engagement Lead on templates, slide design, murals, etc.
- Coordinate cross-regional communication strategy; leading initiatives and representing R&D Europe by connecting relevant speakers in the regions. Co-ordinating meeting invites; taking minutes and liaising with Lead on actions.
EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS:
- Bachelor’s degree in business or communications or health care/biopharmaceutical science related back ground with experience in business related project planning activities/support.
- 1-3 years experience in the business related or project planning related support or biotechnology/pharmaceutical industry experience.
- Strong problem-solving and project management skills with a proven ability to manage multiple projects and prioritize appropriately.
- Excellent written and verbal communication skills with a proven track record collaborating with others to achieve goals.
- Ability to proactively identify business problems/ risks/ issues and facilitate issue resolution and risk mitigation, and triage appropriately.
- Team-oriented, with effective and efficient mindset.
- Self-starter with ability to learn and adapt to new environments/changes in environment.
- Demonstrated proficiency with PowerPoint, Excel and Word required, Microsoft Project experience is a plus; ability to learn new software/technical systems and trouble-shoot minor issues.
- Knowledge and experience with Takeda processes would be an advantage
- Demonstrated administrational experience in a professional environment
- Fluency in English is a requirement
